Who we are
Rook Consulting LLC ("Rook," "we," "us") operates rookconsulting.us. This policy explains what information the website collects and how we use it. Questions go to christiana@rookconsulting.us.
This policy covers the website only. Client engagements are governed by our written services agreement and, where it applies, a Business Associate Agreement.
Please don't send patient information
Our website forms collect business contact details only. Please do not submit protected health information or any patient details through the site. If we receive it, we delete it.
Information we collect
- Marketing Risk Report form: name, practice name, website, email, phone number (optional) and specialty.
- Demo request form: name, email and practice name.
- Booking a call: the details you enter in Calendly, such as your name, email and practice.
- Payments: handled by Stripe. We receive confirmation and the details you enter, such as name, email and practice. We never see or store your full card number.
- Emails you send us and anything you choose to include.
- Technical data: our hosting provider records standard server information, such as IP address, browser type and pages requested, to deliver and secure the site.
Cookies, analytics and advertising
The site does not use advertising pixels, analytics cookies or cross-site tracking. Our pages load fonts from Google Fonts, which means Google receives your IP address when a page loads. Our booking page embeds Calendly's scheduler, which may set its own cookies under Calendly's privacy policy. If we ever add analytics or advertising tools, we will update this policy first.

- To schedule calls and deliver services you buy
- To send follow-up emails about your request or our services. Every marketing email includes a way to unsubscribe.

Who we share it with
We share information only with service providers that help us run the business, and with partners you ask to be introduced to:
- Netlify hosts the site and receives form submissions
- Zapier moves form submissions between our tools
- Monday.com stores our lead and client records
- Google Workspace provides our email
- Calendly handles scheduling
- Stripe processes payments
- MailerLite sends follow-up emails
- RepeatMD: our site links to RepeatMD with a referral code, so RepeatMD knows the visit came from us. Anything you enter on their site is covered by their privacy policy. Rook is a RepeatMD referral partner and may be compensated when practices sign up through our link.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We may disclose information if required by law.
How long we keep it
We keep inquiry and client records for as long as needed to serve you and meet our legal and accounting obligations, then delete them. You can ask us to delete your information at any time.
Your choices and rights
You can ask to see, correct or delete the personal information we hold about you, or to stop receiving marketing emails, by writing to christiana@rookconsulting.us. Depending on where you live, including California, you may have additional rights under state privacy law. We will not treat you differently for exercising them.
Security
We use reputable providers and limit access to the information we hold. No method of transmission or storage is completely secure, so please do not send sensitive information through the website.
Children
This website is intended for business owners and professionals. It is not directed to children, and we do not knowingly collect information from anyone under 16.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date.
